Elvanto User Guide

Elvanto is the church management software we use that helps us do life at TOMS. We hope the following makes it easy for you getting started but please contact the office should you need further assistance.

  • There are 2 ways to access Elvanto at TOMS:

    > Online

    > Android or iOS App

    Online:

    Go to toms.elvanto.com.au

    Use the email address you use to communicate with TOMS, and the username and password given to you by the NEXT STEP team.

    App:

    Download the app from your App Store

    Enter in the church URL/domain is toms.elvanto.com.au

    Use the email address you use to communicate with TOMS, and the username and password given to you by the NEXT STEP team.

  • It happens to us all!

    I forgot my username. Now what?

    Go to toms.elvanto.com.au

    Login using your email address and password. (If you have more than one email address, use the email address you use to recieve E-news.)

    Online:

    At the top-right corner, where your profile picture is located, select ‘Profile’.

    Navigate your way down to the very bottom of your information to ‘Log In Details’. Your username is recorded here.

    I forgot my password. Now what?

    Go to toms.elvanto.com.au or open the app.

    Click on ‘I forgot my password’.

    Enter your email address and you will be sent a new password. (If you have more than one email address, use the email address you use to recieve E-news.)

  • Log in to Elvanto.

    Click the dropdown menu in the top right hand corner and select Profile.

    Update your details.

    Select ‘Save’ after making your changes.

  • Log in to Elvanto.

    In the menu, select ‘Church Directory’.

    All the people in the directory will appear. To search for someone, simply type a few letters of their name and click ‘Search’. To view their full contact details, click on their name.

    If you don’t want to appear in the Church Directory, you’ll have to change your privacy settings. If you do this it will make it difficult for people to care for you because they cannot see your phone number or address. To proceed, navigate to your profile page (Top right corner).

    • select ‘Profile’

    • Under the drop-down menu, ‘Me’, select ‘Privacy Settings’

    • Click on a field to change its setting. Fields shown in green will be visible. Fields shown in grey will be hidden.

  • Your Roster

    If you are serving on a Sunday team, you will receive an email and a text the Thursday before you are scheduled.

    You can look up rosters/schedules anytime online or via the App.

    There are 2 ways to do this:

    > Select ‘Roster’ from the menu.

    or

    > Select ‘Profile’, then ‘Volunteering’.

    To change your roster after it has been allocated to you.

    If you are serving in a team:

    If you cannot attend your scheduled service, please speak to your team leader.

    It is important to let us know the dates you are unavailable so that the team can be aware of who will be serving with them on a given day.

    If you are serving in an upfront role:

    If you are rostered on Service Leading, Bible Reading, or Prayer, and you become aware of a date you are not available after schedules have been published, please arrange a SWAP or REPLACE with another volunteer and advise the office of the details.

    Select the date you are serving.

    Click on the small cross next to your name and a window will appear.

    Select either SWAP (find a volunteer to swap with) or REPLACE (find a volunteer to replace you).

    An email notification will be sent with a link which allows the person you select to either accept or decline a swap/replace request.

  • Please let us know when you are unavailable to serve to help our services run smoothly.

    Set or Remove Unavailability

    1. Log into Elvanto

    2. Click on ‘Unavailability’ in the menu.

    3. Select the range of dates and times that you’ll be unavailable.

    4. Click ‘Submit’. Your upcoming unavailability will appear in a table at the bottom of the page.

    5. To remove an unavailability, select the dates that you are now available, then select ‘Delete’ in the drop-down menu.
